Can a report remember previous options?

Create a profile, everything you enter will be saved. When you select the report again, select the saved profile and you should see all the options saved.

To create a profile, type in a description for the profile on the initial screen the comes up when you click on the Reports menu. Select the report you wish to run. Make the desired selections on each option screen.

When you go back to report selections again, this saved profile should be available in the list. On subsequent times, if you think you might make changes be sure to check "save selections" after choosing the profile, but before selecting a report.

I set up a new team group, but it doesn't show in the list.

Go to Setup->Maintenance->Team Group Club (and possibly Team Group Color), to move the appropriate clubs and colors for each group defined.

How do I set up teams?

There are some default groups and group types already set up. Typically, users have the Group Types [Main Group (Teams)] set for their game time groups and the Groups (using Group Type for Game Time) to subdivide into the groups represented during handbook time.

Group Type and Group screens can be found under the Setup menu item.

When you specify the group on the main screen for each clubber, you would be picking the Team Group and since it is part of the larger Main Group (Teams), they are part of that group (type) as well.

How are Awana and Church attendance set up to automatically calculate awards?

First, the correct field needs to be chosen under menu item Setup->Options for Attendance Label and Sunday School label.

Finally, the dates for the specific quarter or 2 quarters needs to be entered in Setup->Calendar Setup.

If someone has not received an award that you think should, first confirm the 2 steps above.

Second, look at Setup->Calendar setup and note the dates listed for a specific quarter (Awana attendance) or 2 quarters (Church attendance).

Next, run the report Attendance->Club Summary - Clubbers for the same date range. Do you see any that have missed none or 1 per quarter? Those should be getting awards.

Finally, check a specific clubber you think should be getting an award by running the report Attendance->Current Clubber's Sessions for the same date range. You need to be able to match the dates to the ones listed on the calendar. They should have been marked for that session field for all the same dates except 1 per quarter.

What is the most common way to connect several computers to one database?

The most common method is with a shared folder. Set up a shared folder that all the computers can read and write to (for example, with a Word Document). Once this is done, copy the database, Ark.mdb located on C:\Program Files\Missionary TECH Team\Ark on XP, and C:\ProgramData\Missionary TECH Team\Ark on Vista and Windows 7, to this shared folder. Run Ark on each computer, selecting the menu item File->Change Database. Select Database type as ODBC - Access and click the Browse button to locate the file on the shared folder.

True client/server with MS SQL or MySQL is also possible, typically for a small additional fee, depending on available expertise.

When you start the app from the apps page, you'll be able to select Web or local server and log in to begin entering sections and attendance info. Awesome!

How do I get a list of clubber that have been absent a few weeks?

Two options:

1) Attendance Chart under the Attendance section of the Report Selection. Use this to visually see who has been absent.

2) You can get a list of clubbers based on attendance criteria. So to do this proceed as follows:

a) Under Data section, choose Clubber List
b) On the first screen, select "from" and "until" dates that represent the start of the year and the most recent club night, respectively.
c) select "Absent From" date to be the date that is X number of weeks earlier than the "until" date.
d) Change "Present at least" to determine a "regular" attendee. If you leave it as one, someone who was there the first night, but has not returned will display.
e) Click OK and make any additional selections on the next screen.

You could also change the from and until to only include the last eight weeks or so, experiment some with that if you need to.

Here is a specific example:

Present at least: 8
from: 9/3/2008
until: 1/28/2009
Absent from: 1/14/2009

This gives a list of clubber who were gone all three of the most recent club nights, but have otherwise been at club at least 8 nights since the beginning of the year.
